How to use this scorecard
Print one copy per provider
Fill in the vendor name, reviewer, date and the plan or price they proposed.
Ask all 25 questions
Ask each vendor for a direct answer, an example and, where possible, a live demonstration. Tick Clear, Partial or Unclear and note the evidence.
Score the five categories
Using your notes, score each category from 0 to 2 for a total out of 10.
Compare, then pilot
Compare totals and decision notes side by side, then test your strongest candidate in a controlled pilot before forwarding all calls.

Part A: record an answer to each question
Answer key. Clear: a direct answer backed by an example, document or demonstration. Partial: answered, but vague or not yet verified. Unclear: no answer, or the provider could not explain it.
Part 1 Caller experience and brand representation

Part 2 Qualification and intake accuracy
- What information is collected on every new inquiry?
- How is the service area checked?

- Can the service book directly into our calendar or CRM?
- Which services may be booked without office approval?

- Can we review call recordings, summaries and outcomes?

- 9–10: Strong candidate for a controlled pilot.
- 7–8: Promising, but resolve the weak category in writing.
- 5–6: High implementation risk; test carefully before forwarding all calls.
- 0–4: The provider is not ready to operate as your front office.
The total is a comparison aid, not a guarantee of service quality. It is a screening tool, not a substitute for a pilot: a provider should still prove it can follow your actual rules on real or simulated calls.
Part C: summarize the decision
The last page has space for each provider’s strengths, risks, unanswered questions and next step, plus a table to compare up to three providers by total score and weakest category.
